How to Write an RFQ That Gets Comparable Quotes

Most RFQs come back with quotes that cannot be compared side by side. Five fields fix that.

The five fields that make supplier quotes comparable: quantity and size break-up, fabric and weight, colour and process, delivery date and destination, and sampling.

Why quotes come back incomparable

When an RFQ leaves the specification open, every vendor fills the gap with their own assumption. One quotes a lighter fabric, another includes packaging, a third prices a different MOQ. The numbers are all correct and none of them can be compared.

An open brief for 500 cotton tees gets three quotes built on three different assumptions. A complete brief gets three quotes on the same specification, which can be compared side by side.

The five fields that matter

  1. Quantity and size break-up. A flat 500 pieces and 500 across five sizes are different production runs.
  2. Fabric and weight. Name the fabric and the GSM with a tolerance. GSM explained covers the ranges that suit each garment.
  3. Colour and process. Dyed-to-match, pigment print or sublimation changes the mill entirely.
  4. Delivery date and destination. Ex-factory and delivered are not the same price.
  5. Sampling expectation. Say whether you need a pre-production sample and who pays for it.

Attach a reference image

A single photo removes more ambiguity than a paragraph of description. On Cosora a Quick RFQ takes an image and a quantity, and verified manufacturers respond against that reference.

Set a response window

Give vendors a deadline. An RFQ with no date sits behind whatever is urgent, and you lose a week finding out that nobody replied.

A precise brief only helps if the vendors reading it are real. Every manufacturer on Cosora is verified before they can quote.
